The Role description of all committee members:
CO-ORDINATOR- Liaise with Maternal and Child Health Sister.
- Liaise with the Hobson’s Bay City Council Playgroup Co-ordinator.
- Liaise with the Seabrook Community Centre Co-ordinator.
- Attend Seabrook Community Centre meetings as required.
- Oversee all playgroup sessions to ensure they are running to the Playgroup guidelines and provide support to Group Leaders to fulfil their duties.
- Keep records for Playgroup - committee member details, minutes of meetings.
- Keep records of names & addresses of playgroup members and attendance sheets.
- Co-ordinate and run the AGM.
- Set term dates, committee meetings, clean-up days and organise the Calendar of events for the coming year at the AGM.
- Attend to any incoming correspondence.
CO-COORDINATOR / ENROLMENT OFFICER
- Work with Co-ordinator with the running of Playgroup.
- Liaise with Maternal and Child Health Sister, Hobson’s Bay City Council Playgroup Co-ordinator and the Seabrook Community Centre Co-ordinator.
- Act as contact person for people inquiring about places at playgroup and keep a waiting list.
- Make attendance and fee lists for playgroups each term in conjunction with the Treasurer.
- Keep records of names & addresses of playgroup members and attendance sheets.
- Help Co-ordinate and run the AGM alongside the coordinator.
TREASURER
- Collate information from group leaders about fees paid by members (term & Playgroup Association)
- Collect receipts for equipment purchased and bills paid.
- Provide a Treasurer’s Report each term for the Committee meeting and for all members to view.
- Organise an annual audit for members to view at the AGM.
- Liaise with Victorian Playgroup Association and keep insurance records current.
- Empty Playgroups money collection box regularly, particularly during periods of large fundraising activities, and deposit into Seabrook Playgroup’s bank account.
SECRETARY
- Attend meetings and record minutes
- Prepare record of minutes for display in group folder and on the notice board
- Provide a copy of the minutes to the Seabrook Community Centre Co-ordinator, the Maternal & Child Health Nurse, and the Kindergarten Co-ordinator.
- Edit monthly newsletter informing members of activities & news.
- Edit the Playgroup brochure each term/year.
- Edit Playgroup Guidelines each year.
- Advertise the AGM 1 month prior to the meeting (minimum of 2 weeks prior to AGM, as stated in our constitution).
- Maintain and update as required the Seabrook Playgroup web page on the Seabrook Community Centre website.
- Attend the AGM and record the minutes.
PURCHASING OFFICER
- Make purchases for Playgroup in consultation with the Co-ordinators, Treasurer & Committee members.
- Maintain a supply of sundry items (tea, coffee, detergent).
- Maintain toys that are broken by either organising for them to be repaired or replacing them.
- Maintain a list of repairers of toys & equipment.
- Keep an update stock list of all toys and supplies.
- Organise a major clean & lead a stock take at the end of each year of all toys & equipment.
SOCIAL/FUNDRAISING CO-ORDINATOR
Oversee a subcommittee of volunteers – Social/Fundraising Committee – who will:
- Organise, advertise & co-ordinate the running of social events such as Playgrouping Victoria Play Days, a Family Day each term, a family Christmas Break up, Photographer, etc.
- Organise, advertise & co-ordinate fundraising activities such as Shopping Trips & Playgrouping Victoria Raffle.
- Liase with the Kindergarten Fundraising Committee and support their efforts by distributing all information
GROUP LEADER
- Ensure a representative attends all meetings so that the groups ideas are put forward and matters of interest are communicated back to the group, whether it be yourself or another group member.
- Collect and pass on all fees and receipts to the Treasurer.
- Liaise between the group members and the Co-ordinator.
- Keep an updated list of group members and provide an updated copy for the Co-ordinator each term.
- Inform Co-ordinator of any new members immediately.
- Write any concerns or issues about playgroup in the Communications Book eg. Equipment needed, cleaning concerns, safety issues, and excursion/activity ideas.
- Welcome new members to the group, giving them a Seabrook Playgroup Brochure / Guidelines and Insurance information.
- Ensure smooth running of sessions.
- Report any accidents to the co-ordinator.
- Ensure that members sign the attendance book each session & pass onto co-ordinator.
- Organise a roster each term for morning tea & setting up activities.
- When a change of group leader occurs within a group, the newly appointed group leader must notify the enrolment officer within the last week of term (prior to the term holidays), to inform them of the changes for the following term (or sooner if a change occurs mid-way through a term).
